This policy explains how Sanimara Ltd collects, uses, and protects your personal data when you visit our website or use our readiness check and assessment. We keep it plain, and we keep your data in the EU and UK.

1. Who we are

Sanimara Ltd (“Sanimara”, “we”, “us”) is the data controller for the personal data described in this policy. We are registered in England & Wales.

2. What data we collect

• Details you give us through the readiness check, full assessment, or when you contact us: your name, work email, phone number, company, and role.
• Assessment content: the answers you provide and the resulting indicative scores, used to generate your report.
• Booking data: if you book a call, our scheduling provider processes the details you submit to arrange the meeting.
• Technical data: basic server logs (such as IP address and request metadata) that our hosting provider generates to deliver and secure the site.

3. How and why we use it (lawful bases)

• To provide what you asked for: send your assessment link and report, respond to enquiries, and arrange calls. Lawful basis: performance of a contract or steps taken at your request, and our legitimate interests.
• To operate and secure our website. Lawful basis: legitimate interests in running a safe, reliable service.
• To comply with legal obligations where applicable.

We do not sell your data, and we do not use it for third-party advertising.

4. Who we share it with

We share personal data only with service providers who process it on our behalf, under contract and appropriate safeguards:

• Email delivery: to send your assessment link and report.
• Scheduling: to book calls you request.
• Hosting and infrastructure: to serve the website and store submissions securely.
• Analytics: Google (Google Analytics) and Microsoft (Microsoft Clarity), only if you accept analytics cookies, to measure and improve the site. See section 7.

We may also disclose data where required by law. Your data is processed within the EU and UK, except where you accept analytics (see sections 7 and 8).

5. How long we keep it

We keep lead and assessment data only as long as needed for the purpose it was collected and to meet our legal and accounting obligations, after which it is deleted or anonymised. You can ask us to delete your data sooner at any time.

6. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict, or object to our processing of your personal data, and the right to data portability. To exercise any of these, email [email protected].

You also have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk if you are unhappy with how we handle your data.

7. Cookies and analytics

Storage strictly necessary to make the site work is always allowed. Beyond that, we use privacy-respecting analytics to understand how the site is used so we can improve it. These are off by default: nothing loads until you choose “Accept” on our cookie banner, and you can change your choice at any time using Cookie settings in the footer.

When you accept, we use:

• Google Analytics 4 (Google): aggregate usage and traffic measurement. We enable IP anonymisation.
• Microsoft Clarity (Microsoft): anonymised usage analytics that help us spot usability problems.

Acting as our processors, these providers may set cookies or similar storage on your device and process technical data such as a pseudonymous identifier, pages viewed, and approximate location. We use Google Consent Mode so that, until you accept, no analytics storage is used. If you decline, or take no action, these tools do not load and no analytics cookies are set.

Lawful basis: your consent, which you can withdraw at any time via “Cookie settings” or your browser settings.

8. International transfers

Where a provider processes data outside the UK/EEA, we rely on appropriate safeguards such as UK adequacy regulations or standard contractual clauses.

We may update this policy from time to time. The “last updated” date above shows the current version.
